EXAMINATIONS SECTION

  • Processing of final and non-final year results for Senate;
  • Issuance of notification of results to graduands of the University & Affiliated Institutions;

  • Provision of academic gowns for matriculation and graduation ceremonies;
  • Processing of list of students for NYSC mobilization;
  • Monitoring and supervision of the University Central Store;

  • Confirmation and verification of results/certificates for organizations and institutions locally and internationally;
  • Processing letters of appointment, claim forms and booking of accommodation for external examiners;

STANDARD OPERATING PROCEDURES (SOP) FOR COLLECTION OF STATEMENT OF RESULTS (REGULAR STUDENTS)

 

  1. Application Letter should be addressed to the Examinations Officer (Undergraduate), University of Ibadan.
  2. Applicants should attach copies of the following documents:

  4. Birth Certificate or Age declaration
  5. School ID Card

 

SOP FOR COLLECTION OF STATEMENT OF RESULTS (DISTANCE LEARNING STUDENTS)

 

  1. Application Letter Should be addressed to the Examinations Officer (Undergraduate), University of Ibadan
  2. Applicants should attach the following documents:
  3. Photocopy of Clearance from Distance Learning Centre (DLC)
  4. Original Final Course Form.
  5. A passport photograph.

 

SOP FOR CERTIFICATION OF CERTIFICATES (CERTIED TRUE COPY)

 

The applicant shall produce:

  1. 10 Clear Photocopies of the Certificate
  2. Receipt for Payment of One thousand naira (N1,000.00) only.

 

The certificate must bear- the Vice Chancellor’s signature, the Registrar’s signature and the effective Date of Award. The original copy of the certificate should be presented for sighting.

 

SOP FOR CORRECTION OF ERROR ON CERTIFICATE

 

  1. Collect a complaint form from the certificate room (Undergraduate)
  2. Write a complaint letter indicating the nature of error, addressed to the Examinations Officer, University of Ibadan
  • Attach the original certificate with error.

Note:  for the new certificate (Electronic), attach a photocopy of Birth certificate to the above.

 

SOP FOR COMPLAINT ON E-CERTIFICATE NOT PRINTED/OMITTED

 

  1. Write a letter addressed to the Examinations Officer (Undergraduate), University of Ibadan indicating your educational details and contact address with phone numbers
  2. Scan a Passport photograph into a CD in JPEG Format saved with your matriculation number
  • Attach a copy of the following documents:
  1. Statement of Result and
  2. Birth Certificate or Age declaration submitted during admission into the University.

 

SOP FOR COLLECTION OF CERTIFICATE ON BEHALF OF ANOTHER PERSON

 

Authorization Letter written and signed by the owner of the certificate should be addressed to Deputy Registrar (Academic), University of Ibadan with the following attachments:

 

  1. Photocopy of Statement of Result of the owner of the certificate.
  2. Photocopy of International passport/National ID card/Driver’s License/Place of Work ID Card of the owner of certificate.
  • Photocopy of Valid form of ID card of the person authorized to collect the certificate.

 

SOP FOR CERTIFICATION OF ENGLISH LANGUAGE PROFICIENCY LETTER

 

  1. Apply in writing to the Deputy Registrar (Academic), University of Ibadan attaching a copy of the Statement of Result or Certificate.
  2. Indicate Gender and the address of receiver or destination in the application letter;
  • Attach a receipt for payment of processing fee of N1,000.00 per letter.

 

SOP FOR RE-ISSUANCE OF LOST CERTIFICATE

 

Apply in writing through the Head of the department of the applicant to the Deputy Registrar (Academic) University of Ibadan for Re-issuance of Lost Certificate, attaching the following documents:

  1. Original copies of Sworn Affidavit and a Police Report on the loss;
  2. A Photostat copy of any means of identification i.e. bio-data page of international passport, driver’s license, valid work ID Card.
  • Copy of the Lost Certificate or Statement of Result if available;
  1. A passport photograph of the Applicant.
  2. An Attestation Letter from the applicant’s employer or self introduction Letter for self employed applicant.
  3. Payment of re-issuance fee of N25,000.

 

SOP FOR VERIFICATION OF RESULTS/CERTIFICATES

 

Request Letters should be addressed to the Registrar, U.I. or the Deputy Registrar (Academic), University of Ibadan. Request via e-mail should be sent to registrar@mail.ui.edu.ng or dracad@ui.edu.ng; with the following attachment:

 

  1. Copies of results or certificates to be verified;
  2. Receipt of Payment of N1,000.00 processing fee for individual applicants and N5,000.00 for corporate organizations per certificate/result for verification.

 

PAYMENT PROCEDURE

The new process for remitting funds in line with the new development on the Treasury Single Account Policy of the Federal Government is as follows:

 

  • Visit www.remita.net
  • Click on “pay a Federal Government Agency”
  • Fill in details required i.e. Name of MDA (University of Ibadan), Name of Service/Purpose: Verification of Result/Certificate, Full name, Payer’s Phone Number, etc.
  • Print out invoice containing your Remita Retrieval Reference (RRR)
  • Pay at any commercial bank of choice
  • Kindly forward copies of invoice containing the RRR and the bank teller to the Cash Office of our institution in order to confirm your payment upon which University receipt shall be issued.

The undergraduate Admission section is saddled with the following responsibilities:

 

  • Processing applications of UTME and direct entry candidates for admission into various departments of the University & Affiliated Institutions.
  • Organizing and conducting, in collaboration with Senate Admissions Committee, Post-UTME tests for candidates.
  • Selecting qualified candidates for admission into Departments in the various Faculties of the University & Affiliated Institutions.
  • Processing applications for change of course candidates who are not qualified for their desired courses but are qualified to be admitted for other courses.
  • Clearing and endorsing candidates recommended for provisional admissions into the various departments having certified that their credentials are suitable for admission purpose.
  • Compiling and verifying candidates’ results from examination bodies and schools across the world.
  • Issuance of verification letters to students whose results have been verified.
  • Compiling and transferring of processed students files to the Records Unit of the University.

PROCEDURE FOR COLLECTION OF TRANSCRIPT (UNDERGRADUATE)

 

Applicants who had previously collected a transcript should start from step 2.

  1. Collect a request memo from Students’ Records Section to your department to secure release of your results, which must be dispatched by a staff of that Department;
  2. Collect authority-to-pay (please note that authority-to-pay will NOT be issued without result from the department);
  3. Generate an online invoice at www.remita.net to make payment at any commercial bank or Unibadan Microfinance Bank;
  4. Take the bank teller, bank payment printout and authority to pay to Cash Office to obtain UI Receipt, which must be submitted in Students’ Records Section for work to commence on your request. Please note that transcript processing fee is to be paid by applicant as no staff of the unit is saddled with such responsibility. Whoever transacts payment for transcript processing with a staff does it at his/her risk;
  5. Collect transcript application form from the Desk Officer and ensure you provide all necessary information on the form;
  6. Issuance and collection is made possible in person by applicant or through a letter of authority from the applicant;
  7. If you wish to send your transcript by courier as some institutions/organizations/establishments will always require the document be sent directly from issuing institution, make a payment for DHL courier service at the Students’ Records Section. The cost depends on where the transcript is addressed to;
  8. If you wish to obtain the transcript by hand, state on the request form that the document should be released to you.
